Automation

Flows that follow up on every lead and order

Pick a trigger, add checks, waits and actions, and test the flow on a real contact before it goes live. Flows send emails and SMS, create tasks, update records and call your webhooks.

  • 17 triggers and 12 actions
  • Test with a contact, nothing sent
  • Every version kept, any one restored

Why Elara One Automation

Automation you can trust with customers

  • Instead of: Follow-ups that rely on memory

    Follow-ups that always happen

A flow runs for every matching lead, order or message, evenings and weekends included.

  • Instead of: Afraid to switch it on

    Test before it goes live

“Test with a contact” walks a flow step by step for a real contact without sending anything.

  • Instead of: Automations that fail silently

    Every run explained

Each run says in words what happened and why, and finishes on the version it started with.

  • Instead of: Marketing to people who opted out

    Consent checked on every send

Marketing sends skip anyone marked do not contact or on a suppression list.

Build with confidence

Build it, test it, then switch it on

Flows have drafts, tests and versions, like any change you would make to a live system.

Three flows most businesses start with

Each is built from the triggers and actions above. Change any step to suit your business.

  • Welcome a subscriber

Say hello the moment someone signs up, then follow up once they have had time to look around.

    1. trigger: Form submitted: Newsletter sign-up
    2. action: Send email: Welcome to Hearth & Oak
    3. wait: Wait 3 days
    4. action: Send email: Our most loved pieces
  • Follow up a quote request

Big budgets get a call within the hour. Everyone else hears back by email two days later.

    1. trigger: Form submitted: Quote request
    2. check: Budget over £5,000?
    3. action: Yes: create task for the owner, send SMS
    4. action: No: wait 2 days, send email
  • Win back a lapsed customer

When a customer drops into your “Lapsed customers” list, remind them you exist, then hand over to a person.

    1. trigger: Joined a list: Lapsed customers
    2. action: Send template: We have missed you
    3. wait: Wait 7 days
    4. action: Create task: Call to check in

Works with the rest of Elara One

Automation shares its customers, data and admin with every other module, so nothing needs syncing.

  • Forms

Lead capture with spam protection and notifications.

A new submission can start a flow that replies, assigns and follows up.

  • CRM

Contacts, companies, tasks, lists and lead routing.

Flows set stages, fields, owners and tags, and add notes and tasks to the record.

  • Inbox

Web chat and SMS on the customer record.

“Message received” and “No reply” keep conversations from going quiet.

FAQ

Questions about Automation

How flows behave once they are live.

What can start a flow?
Seventeen triggers: a form submitted, a tag added, a message received, an order placed, cancelled, dispatched or delivered, a CRM stage or field changed, an owner assigned, a task overdue, no reply, a company created, and a contact joining or leaving a list. Two more, a call completed and an analytics alert, arrive with AI voice and analytics.
Can I test a flow before it goes live?
Yes. “Test with a contact” runs the flow for a real contact as a dry run. You see each check and the path it takes, and nothing is sent or changed.
What happens to running flows when I edit one?
Edits are made in a draft. When you publish, new runs use the new version, and every run already under way finishes on the version it started with. Any earlier version can be restored as a draft.
Will a flow email people who unsubscribed?
No. Marketing sends check do-not-contact and suppression lists first, and every marketing email carries a one-click unsubscribe. Transactional email is allowed only from order triggers.
Can a flow talk to my other systems?
Yes. The webhook action sends the run’s data to any URL you choose. For changes made anywhere in the CRM, signed change webhooks are also available through the API.
Is there a limit on flow runs?
Each plan includes a monthly allowance of flow runs, which grows with the tier. The pricing page lists the figures for each plan.
